What Is a Road Call in Truck Repair?

Short answer: A road call is a service call where a repair business sends a technician and service truck to a broken-down commercial truck, trailer or piece of equipment, usually on the roadside, at a truck stop or at a customer site. Road calls are often urgent, unplanned and priced with a call-out fee or mileage plus labor and parts.

How a road call usually runs

  1. The call. The driver or fleet reports the breakdown. The dispatcher records the location, unit number, symptoms, load status and who approves charges.
  2. Triage. Decide whether the problem can be fixed on site or needs a tow, and what parts to bring.
  3. Quote and approval. Tell the caller the service call fee, any mileage charge and the labor rate, and record their acceptance. Many shops ask for a purchase order number or a card.
  4. Dispatch. Send the closest qualified technician with the right parts.
  5. Repair. Diagnose, get approval for the repair, fix, and verify.
  6. Paperwork. Capture the 3 Cs, photos, parts and times, and invoice right away.

Why speed matters

Every hour a truck sits costs the fleet. Under 49 CFR 395.3, a property-carrying driver may not drive beyond the 14th hour after coming on duty following 10 consecutive hours off duty, so a long wait can strand the driver even after the repair. See how to reduce truck downtime for fleet customers.

Safety and legality

Under 49 CFR 396.7, a vehicle may not be operated in a condition likely to cause an accident or breakdown. If the defect cannot be repaired safely on site, arrange a tow. See emergency roadside repair.

Road call versus scheduled field service

A road call is unplanned. Scheduled field service, such as yard PMs, is planned. Shops often price road calls higher because they are harder to staff and stock and often happen after hours.

Getting paid

Road calls often involve new customers. Taking payment details before rolling protects the shop. Some shops place a card hold, which reserves funds without charging, and capture the final amount after the work.
