How to Choose Diesel Repair Shop Software

Short answer: Choose diesel repair shop software by first writing down how work arrives, how many technicians and trucks you run, who you bill and what you repair. Then ask every vendor the same questions about calls, dispatch, technician use, repair lines, inspections, approvals, payments, accounting sync, parts and data import, and test each system on a real job from your shop.

Start with your shop, not the software

Feature lists all look alike. What separates a good fit from a bad one is how well the system handles the way your shop actually works. Before any demo, write down four things:

  • How work arrives. Mostly breakdown calls from the road or a job site, mostly scheduled bay work, or a mix.
  • Your size. How many technicians, service trucks and bays, and whether you plan to grow.
  • Who you bill. Owner-operators who pay on the spot, fleets on terms, government agencies, or all of them.
  • What you repair. Class 8 trucks, trailers, reefer units, construction or ag equipment.

These answers decide which questions below matter most. A mobile business that lives on road calls needs strong dispatch and payment at the job. A bay shop serving fleets needs inspections, approvals and statements. Many shops need both. See heavy-duty shop management software and shop management software.

The questions to ask every vendor

Take the same list into every demo, ask each question, and then ask to see the answer happen on screen.

Calls and jobs

  • Does every phone call become a job with customer, unit, location and complaint?
  • Can calls be recorded so you can check what was said?
  • How are after-hours calls handled?

Jobs lost on a personal cell phone or a sticky note are revenue lost. See road call.

Dispatch

  • How does the system choose a technician: skills, location, shift, current workload?
  • Does it show why it picked a technician, and can the dispatcher override it?
  • What happens when nobody accepts the job?

See how to dispatch mobile diesel technicians.

Technicians in the field

  • What do technicians use: a phone browser, a native app, a tablet?
  • Can they update status, add photos, read the VIN and log findings without a laptop?
  • Does it work with gloves on and poor signal?

If the technician side is hard to use, information never reaches the office.

Repair lines

  • Who writes the complaint, cause and correction?
  • Can technician shorthand become clear repair lines, with the technician's words kept?
  • Does the system suggest labor hours, and does a person approve them?
  • Is there a built-in labor guide, or a connection to one?

See how to write a repair line with the 3 Cs and labor guide.

Inspections and PM

  • Can you use your own inspection forms, including DOT annual inspection and DVIR forms?
  • Does it track PM due dates by miles, engine hours and time?
  • Does it keep records fleets need under 49 CFR 396.3?

Under 49 CFR 396.3, motor carriers must keep records of inspection, repair and maintenance for vehicles they control. Fleets value shops whose records make that easy. See how to do a DOT annual inspection.

Estimates and approvals

  • Can customers approve estimates from a phone, line by line?
  • Is the approval recorded with name, date and time?
  • Do fleet customers get a portal?

See how to send estimates customers approve.

Invoicing and payments

  • Can you invoice from the job site?
  • Are card and ACH payments built in? Can you place a card hold before rolling?
  • Does it handle per-customer terms, statements and late fees?

See truck repair invoice: what to include.

Accounting

  • Which records sync to your accounting system, in which direction and how often?
  • What happens when the sync fails or finds a conflict?

"Works with QuickBooks" can mean a full two-way sync or a monthly export. Ask to see it. See how to sync a repair shop with QuickBooks Online.

Parts

  • Is stock tracked by location, including each service truck?
  • Can you create purchase orders and track cores?
  • Is there a parts markup matrix?

See how to set parts markup for a diesel shop.

Reports

  • Can you see hours, billed work and revenue by technician without building a spreadsheet?
  • Can you see what is waiting on parts or approval?

See technician efficiency vs productivity.

Setup and support

  • Who imports your customers, units, parts and rates?
  • How long does switching take?
  • When you call for help, who answers?

Test on a real job

A scripted demo shows the product at its best. A real job shows how it handles your day.

  1. Pick a recent messy job: an after-hours breakdown, a reassigned technician, a fleet that needed approval, a part that had to be ordered.
  2. Ask the vendor to run that job from the first call to the paid invoice while you watch.
  3. Bring your dispatcher and one technician. They will notice friction an owner might miss.
  4. Count how many times the same information is typed twice.

Questions about cost

Ask each vendor, and get the answers in writing:

  • What will you pay to start?
  • How does the price change as you add technicians, users or locations?
  • What costs extra: setup, training, payments, phone lines, add-ons?
  • Are there contract terms or cancellation fees?
  • What are the card processing fees?

Questions about fit

Every system has limits. Ask the vendor directly who their product is not a good fit for. A vendor that answers honestly is easier to trust on the rest. For example, MetaFleet states it is not a fit for light-duty auto shops, for shops that need built-in labor guides today, or for shops that want a native mobile app before Q4 2026.

Questions about your data

Your customer list, unit history and invoices are some of the most valuable things the shop owns. Ask each vendor:

  • Can you export all your data, in a usable format, at any time?
  • What happens to your data if you cancel?
  • Who in your shop can see and change what, and are changes logged?
  • Where is the data stored and how is it backed up?

A system that makes it hard to leave will also make it hard to fix mistakes.

Scoring the options

Make a simple table with the questions down the side and each vendor across the top. Score each answer on what you saw on screen, not what you were told. Weight the questions that matter most for how your shop works. Then compare total cost over the first year or two, not just the monthly price.

Red flags

  • The vendor will not run your real job.
  • Key features are "on the roadmap" with no date.
  • Accounting sync cannot be shown live.
  • Nobody can explain how data gets in or out.
  • Pricing is unclear after the demo.

Common mistakes

  • Choosing on price alone.
  • Letting only the owner see the demo.
  • Skipping the technician side.
  • Underestimating setup and switching time.
  • Buying for features you will never use.

How MetaFleet fits

MetaFleet is shop management software for mobile and in-shop diesel and heavy-equipment repair businesses in the United States. It covers calls and recorded call scoring, dispatch, technician work in any phone browser, digital inspections on your own forms, preventive maintenance, estimates, invoicing, payments through Stripe, parts inventory and QuickBooks sync. AI writes repair lines from shorthand with suggested labor hours for the shop to review. Labor guides are not built in, MOTOR and Mitchell 1 are not connected, and the AI suggests labor hours on repair lines. Native iOS and Android apps are listed for Q4 2026. Pricing is shared on a walkthrough. Get a walkthrough.

Questions

What is the most important question when choosing shop software?

Whether it fits how your work arrives: road calls, bay work or both. Then test it on a real job.

Should technicians see the demo?

Yes. Bring your dispatcher and one technician. They will spot friction the owner may miss.

What should I get in writing?

Starting price, how price changes as you grow, what costs extra, contract terms and who does the data import.
